Participate World Privacy Policy
Last updated: August 2026
1. Who We Are
This website (participateworld.org) and The Playbook newsletter are operated by Participate World Limited (Company Number: 16202219), registered in England and Wales at 12 Station Parade, Harrogate, England, HG1 1UE ("we", "us", "our").
We collect the minimum data needed to run a great newsletter, and we handle it carefully. This policy explains what we collect, why, and what rights you have over it.
2. What We Collect
Subscriber information: your name and email address when you sign up to The Playbook.
Engagement data: basic stats on email opens and link clicks, so we understand which topics are useful to readers.
Website analytics: standard visitor logs provided by our website host, Squarespace.
3. Why We Collect It (Our Lawful Basis)
We process your name and email address on the basis of your consent; you actively sign up to receive The Playbook. You can withdraw that consent at any time by unsubscribing (see below).
We use website analytics on the basis of our legitimate interest in understanding how people use our site and improving it.
4. How We Use Your Information
We only use your data to:
Deliver The Playbook to your inbox on our publishing schedule.
Respond if you reply directly to one of our emails.
Improve the quality and relevance of our content, based on aggregate engagement trends.
We will never give your personal information to anyone else unless obliged to do so under law
5. How Long We Keep Your Data
We keep your name and email address for as long as you remain subscribed. If you unsubscribe, we remove you from active mailing lists straight away.
6. Third-Party Services We Use
To run the newsletter and website, we rely on two trusted platforms:
Kit manages our subscriber list, sign-up forms, and email broadcasts. Kit is a US-based company; where your data is transferred outside the UK, this happens under Kit's data processing agreement and standard contractual clauses, which provide legally recognised safeguards for international data transfers.
Squarespace hosts our website and landing pages.
Both platforms are contractually required to protect your data and comply with UK GDPR.
7. Your Rights & Control
You have full control over your information at all times:
Unsubscribe anytime: every email includes a one-click unsubscribe link.
Access or delete: email us to request a copy of the data we hold on you, or to ask us to delete it entirely.
Correct: let us know if any information we hold about you is inaccurate, and we'll fix it.
Complain: if you're unhappy with how we've handled your data, you can raise it with us directly, or complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
8. Changes to This Policy
If we make significant changes to how we handle your data, we'll update this page and, where appropriate, let subscribers know by email.
9. Contact Us
